Slicers & Timelines

Add visual filter buttons to Pivot Tables and charts for one-click interactive dashboards.

✅ What You Will Learn

How to insert a Slicer to filter a Pivot Table visually
How to connect one Slicer to multiple Pivot Tables
How to insert a Timeline to filter by date periods
How to style Slicers and Timelines for professional dashboards
How Slicers replace dropdown filters for non-technical users

Slicers are visual filter buttons that sit on top of your spreadsheet. Instead of using Pivot Table dropdown filters, users click buttons — "North", "South", "East" — and the Pivot Table and its chart update instantly. This transforms a spreadsheet into an interactive dashboard anyone can use.

Timelines are date-specific Slicers that show a scrollable time axis. Users can click to filter by month, quarter, or year without typing anything. Both Slicers and Timelines can be connected to multiple Pivot Tables simultaneously — so one click filters an entire dashboard of charts.

Slicers and Timelines are available for Pivot Tables and Excel Tables (Ctrl+T). They are the primary tool for building user-friendly reporting dashboards without needing Power BI.

Examples

Example 1Insert a Region Slicer and connect it to two Pivot Tables
Steps:
1. Click inside a Pivot Table
2. PivotTable Analyze tab → Insert Slicer
3. Check "Region" → OK
4. Right-click the Slicer → Report Connections
5. Check both Pivot Tables → OK
Now clicking "North" in the Slicer filters both tables at once.
💡

Report Connections (called "PivotTable Connections" in some versions) is what makes one Slicer control multiple Pivot Tables — essential for dashboard building.

Example 2Insert a Timeline for date filtering
Steps:
1. Click inside a Pivot Table that has a Date field
2. PivotTable Analyze tab → Insert Timeline
3. Select the date field → OK
4. Use the scrollbar to navigate months
5. Click a month or drag to select a range
OUTPUT
The Timeline shows months as clickable tiles. Clicking "Mar 2026" filters the Pivot Table to show only March 2026 data.
💡

The Timeline dropdown (top right of the Timeline) switches between Days, Months, Quarters, and Years — choose the granularity that fits your report.

📌 Key Points to Remember

  • One Slicer can filter multiple Pivot Tables — right-click the Slicer → Report Connections to configure
  • Ctrl+click to select multiple buttons in a Slicer; the multi-select icon (top right of the Slicer) toggles multi-select mode
  • Slicer Style options (in the Slicer tab) let you match your company colour theme
  • Timelines only appear for date fields — the date column must be formatted as Date (not text) for the option to appear
  • Clear a Slicer filter by clicking the X icon (top right of the Slicer)

🏢 Real-World Application

Analysts at FMCG companies build monthly review dashboards in Excel with region Slicers, category Slicers, and a date Timeline. The business head opens the file, clicks "North" and "Q1" in the Slicers, and all charts update showing only North region Q1 data. No filter menus, no pivot table knowledge required — the Slicers do all the work.

⚠️ Common Mistakes to Avoid

WRONGSlicer is not filtering a second Pivot Table even after connecting
FIXBoth Pivot Tables must be based on the same source data (same underlying cache). If they use different source ranges, the connection option will not appear.
WRONGTimeline does not show as an option
FIXThe date column must contain real Excel dates (not text). Also, the Pivot Table must have the date field in the Rows or Columns area — fields only in Filters may not work with Timelines.
WRONGSlicer buttons show old values after data is updated
FIXRefresh the Pivot Table (right-click → Refresh). The Slicer reflects the Pivot Table data — stale data in the Pivot Table means stale Slicer buttons.
✏️Test Yourself

What must be true for one Slicer to control multiple Pivot Tables simultaneously?

❓ Frequently Asked Questions

Can Slicers filter regular Excel Tables (not just Pivot Tables)?

Yes — select any cell in an Excel Table (Ctrl+T), go to Table Design tab → Insert Slicer. The Slicer filters the table rows directly.

How do I remove the Slicer header text?

Right-click the Slicer → Slicer Settings → uncheck "Display header". This is common in dashboards where the label is obvious from context.

Can Slicers be used in Excel Online?

Yes — Slicers work in Excel Online and Excel for Mac. The formatting options are slightly more limited than the desktop app but the filtering functionality is identical.

✏️ Practice Exercise

Build a two-Pivot-Table dashboard from a 6-month sales dataset. Create one Pivot Table showing sales by region and another showing sales by product category. Add a Region Slicer and a Month Timeline, and connect both to both Pivot Tables. Arrange the Slicers, charts, and tables on one sheet to create a clean dashboard layout.
